Why destroying data carriers is essential for every company

Almost every company has them somewhere: old laptops, servers, USB sticks or hard drives that are no longer in use. You might not think about them anymore, but they often contain sensitive information. Think of customer data, internal documents or financial data. Yet these devices are often simply stored, discarded or sold, without realizing the risk that entails. Because data only truly disappears when it is securely and certified physically destroyed or deleted with software. In this blog article you will read why that is so important, how the process works and why W3E is the right partner to help your organization with this.

The hidden risks of old data carriers

A simple ‘delete’ or formatting of your device may seem enough, but in reality, data on most storage media remains present. With the right software, that information can still be easily retrieved.

That is not only a security issue, but also a legal risk. Under the GDPR, organizations are required to delete personal data as soon as it is no longer needed. And you also have to be able to prove that.

Uncertified destruction can lead to:

  • Data leaks or identity fraud;
  • Fines and sanctions from the Personal Data Authority;
  • Reputation damage among customers and partners;
  • Liability for employees or directors.

In short: careful destruction of data carriers It is extremely important to avoid major risks.

How does professional data carrier destruction work?

At W3E, we work according to a fully controlled and certified process to permanently destroy data. We would be happy to take you through all the steps of this process: from registration to the sustainable processing.

1. Inventory

The process begins with filling out our inventory list. You will identify which data carriers need to be destroyed: computers, smartphones, tablets, monitors, laptops and more. After receiving the inventory list, we will contact you as soon as possible.

2. Quotation & planning

After receiving the inventory list, we will send you a non-binding quote. On this quote, we will specify the chosen destruction method (physical or software), the costs, and the timeframe. Picking up the hardware and the implementation date.

3. Destruction: on-site or off-site

You can choose for yourself whether you want the data carriers destroyed at your location, or in our secure facility:

  • On-site: we come with our mobile shredder to your location. The destruction takes place immediately, under your supervision.

  • Off-site: we pick up the data carriers from you and destroy them in our secure processing facility in Bodegraven.

Both methods comply with the DIN 66399 standard: the international standard for data destruction.

4. Certification & reporting

At the end of the event, you will receive a certificate of data destruction per media, with the following information:

  • Serial number of the destroyed carrier;
  • Date, location and method;
  • Any additional reporting (such as wipe-logs).

This way, you can always prove during an audit that your organization has deleted data in a correct manner.

5. Sustainable processing

After destruction, the remaining materials are processed in an environmentally friendly manner in accordance with the WEEELABEX guidelines. In this way, you contribute to Circular IT and responsible business practices.
